Orinavis provides decision-support tools only—we do not make automated hiring or career decisions on your behalf, and we do not rank people or assign employability scores. We do not sell your personal data. We use it to run the service, improve the product, and communicate with you. You can download an account data package from settings. Broader copies and deletion follow-up are handled by support during the pilot. The current pilot does not use an external AI provider. Opportunity Fit runs on built-in rules — your CV and job adverts are not sent to an external AI provider.
The controller for personal data processed through Orinavis is Orinavis Oy (Business ID 3622324-9; VAT ID FI36223249), located in Helsinki, Finland. Privacy requests: support@orinavis.com. Registered address: Untuvaisentie 7, 00820 Helsinki, Finland. Company identification is also on Imprint. Jurisdiction for this notice: Finland / EU.
Depending on how you interact with Orinavis, this notice may apply to:
Not every visitor uses every role. Some collaboration workflows remain limited or invitation-only during the current pilot.
We collect personal data you provide and technical data needed to operate and secure the service. Depending on the features you use, this may include:
We use personal data to deliver and maintain Orinavis, including account administration; organising career evidence; Opportunity Fit and related career-intelligence features; coach–client collaboration and other user-requested sharing; customer support and product communications; service security; analytics and product operations; legal obligations; and billing administration when billing is enabled. We do not sell your personal data.
The current pilot does not use an external AI provider. Opportunity Fit runs on built-in rules — your CV and job adverts are not sent to an external AI provider. If an external AI provider is introduced for a feature, Orinavis will provide appropriate notice and update relevant disclosures before or at the point of use. That is not active today. Orinavis does not use private career documents, coach notes, or uploaded materials to train its own general-purpose models. External AI processing follows the approved provider and data-processing configuration. See Trust and Privacy for a plain-language summary.
Orinavis does not automatically expose your career information to every role on the platform. Access follows role, purpose, and the permissions or consent flows available in the product. For example, a career coach generally sees only what you share under an active coaching relationship; Trusted Supporters see only what an invitation and permissions allow; Specialist collaboration applies only when those workflows are enabled and authorised for your account; and organisation or programme visibility applies only where configured and authorised. You can manage many visibility and sharing controls in Settings.
Orinavis is intended for users aged 16 or older. We do not knowingly offer accounts to children under 16. See also the eligibility section in the Terms of Service.
We retain your data for as long as your account is active or as needed to provide the service and fulfil the purposes described in this policy. Pilot retention: analytics ~365 days; waitlists ~365 days; cancelled intros ~90 days; cancelled bookings ~180 days; expired sessions/tokens removed when expired. Account career data stays while your account is active unless you request deletion. Billing records may be kept where legally required. Outside-EU interest records are not pilot waitlist entries. A retention period and legal basis for that separate record are not approved yet, so the waitlist period above does not apply to them until the owner confirms one. Your cookie choices stay in your browser until you clear site data or change them.
If you submit a withdrawal statement through the online withdrawal form, we store the name and email you provide, the contract type, any order date you optionally give, the server submission time, and processing evidence such as whether we sent the customer acknowledgement and the operator notice (including attempt counts and non-personal provider error codes). We process this to handle the withdrawal and any refund, to evidence when we received your notice, and where applicable to meet accounting or other legal obligations. Access is limited to Orinavis administrators and support operators. These records are not linked to a signed-in account look-up, so an account erasure request does not by itself delete them. We keep them only while needed for those purposes, then delete or anonymise them. Operators review handled and outstanding statements as part of withdrawal operations and at least once each quarter, and delete or anonymise when the purposes have ended, unless a legal hold or bookkeeping duty for related payment or refund identifiers still applies. Stripe payment and refund identifiers follow separate accounting retention.
Requesting deletion starts a privacy erasure workflow, and its first step runs immediately and cannot be undone. After you confirm with your current password, the content you added is deleted, coach access is revoked, public profile links go offline, open introductions and bookings are cancelled, and the account is locked so you cannot sign in again. Trusted Supporter connections end, and open supporter and specialist requests are cancelled, with the text you wrote in specialist requests removed. The account record, billing and tax records, security logs and backups are not removed by this step, so it is not an automatic wipe of every system copy; remaining account removal steps may require support follow-up. Sign out on other devices after requesting deletion; session cookies may remain valid until they expire. Some records may be retained where legally required (for example security or financial records), and processor backups may persist for a limited period. You can start many privacy requests from Settings or by contacting support.
Depending on where you live, you may have the right to access, correct, delete, or port your data, and to object to or restrict certain processing, and to withdraw consent where processing is based on consent (for example Statistics, which you can withdraw at any time with Cookie settings in the website footer; withdrawal does not affect processing before it). In the product you can start many of these from Settings (export package, privacy requests, visibility controls). Completing some erasure steps, vendor records, and backups may still need support follow-up. You may also lodge a complaint with your supervisory authority (in Finland: the Office of the Data Protection Ombudsman / Tietosuojavaltuutetun toimisto).
We use cookies and similar browser storage in four categories: Necessary, Preferences, Statistics and Marketing. Only Necessary is always active. Statistics is off until you allow it and covers first-party analytics, Web Vitals and browser error reporting through Sentry. No Preferences or Marketing technology is in use today. You choose with Deny, Allow selection or Allow all, and you can change or withdraw at any time with Cookie settings in the website footer. Your choices are stored only in your browser; we keep no server-side record of them. If you used our earlier single analytics control, a previous Decline is kept and a previous Allow is not carried over, so we ask you again. Server-side security logging, server-side error monitoring and operational product records are separate from browser tracking and are not controlled by the cookie panel. Names and details are on the Cookies page. See also Trust and Privacy.
We use the service providers below to run Orinavis. If Orinavis ever enables live processing by an external AI provider for a feature, that change will follow appropriate notice and updated disclosures, and will only proceed under approved data-processing arrangements. Founding Coach subscribers accept the Coach Data Processing Agreement when they subscribe. The same list is on the Imprint. Resend stores personal data in the United States; the safeguard for that transfer is stated next to it. You can ask for a copy of the transfer safeguards at support@orinavis.com.
